Privacy policy
This policy describes what goJILLIAN, Inc. collects and how it is handled, in plain terms. Every statement here describes the system as it is built today. When the system changes, this page changes in the same release.
What this website collects
When you send a request, the form collects your name, your practice's name and your email address. It also takes your phone number, your practice type and your number of locations if you choose to give them; the form on the Discovery Manifest page asks for your role instead. Your name, practice name and email address go to our upload service at upload.gojillian.com, which records your invitation and emails you your private upload link through our email provider Resend. Everything you enter goes to a mailbox our team monitors as a single email. To limit repeated requests, the upload service keeps a one-way fingerprint of your connection's IP address, never the address itself. The website itself stores nothing, runs no analytics and sets no cookies.
What the intake portal collects
The intake portal at upload.gojillian.com is reached by invitation only. The practice and contact details shown on the intake form - practice name, contact name, email, phone, practice size, operatories, providers - were supplied when goJILLIAN created your invitation. They are displayed so you can check them; the form does not currently capture changes to them. When you submit, the portal records your authorization: the exact consent text you were shown, the time, your IP address, and your browser's user-agent string. No mobile information is shared with third parties or affiliates for marketing or promotional purposes.
Uploaded invoices
Invoice files upload directly from your browser to transient cloud storage; the bytes do not pass through our web servers. Accepted types are PDF, JPG, PNG, HEIC, CSV and XLSX. Our database keeps the filename, size, type and a checksum - never the file contents. Processing happens on goJILLIAN-controlled hardware: the file is downloaded there, its checksum verified, and the cloud copy removed, normally within minutes. The downloaded copy is what JILLIAN analyzes.

A storage lifecycle rule deletes any uploaded file still in cloud storage, whether or not it was processed. Days until that rule fires: 7
Email
After you submit, we send one acknowledgment email through a transactional email provider. Delivery events for that email are recorded only after the provider's signature on the event is verified. Replies go to jillian@gojillian.com, a monitored mailbox.
Who handles the data
Vercel (web hosting), Cloudflare R2 (transient file storage), Neon (database), Resend (transactional email), and Microsoft 365 (the jillian@gojillian.com mailbox). Each processes data only to provide its service to us. We do not sell your data, and this list changes only when the system does.
Your choices
You can ask what we hold about your practice, ask for a correction, or ask us to remove your practice's files and contact details, by emailing jillian@gojillian.com. An invitation link that is not used expires.
